What Data Do we collect?
We collect data such as your name, email address, telephone number and wedding details, which is completed in our contact us form used on our website and at wedding fairs. If you do book a consultation a meeting address may also need to be provided. We also use software tools used to measure the activity of our site such as how many people have clicked on our page, and page interaction, we do this do constantly see if anything can be improved and be made easier for you. Our website uses cookies to monitor customer’s actions on our site, we also can verify IP address to identify device types and locations which is used to view the analytics of the sites usage. We love to hear your comments so all feedback or recommendations are kept along with the person’s name and platform used to provide the feedback.
Where do we store our data?
Our Website is hosted though Tsohost.com they ensure they use a secure server and firewall system to keep all of our data safe.
Personal data such as email address and invoice details are stored on our secure, password protected internal hard drive and email archives which is backed up regularly, and also protected by various firewalls to keep your information safe. When sending emails directly to us they go to our password protected email account provided by Gmail who are also fully compliant with the new GDPR regulations.
Our current payment methods are either Bank Transfer or Pay Pal, we bank with Lloyds Bank. Both Lloyds and Pay Pal are fully compliant with GDPR and have their own privacy policy’s which you may access online in a bank branch.
In some occasions we may need to share personal details with our personally selected partners who will help facilitate the production or supply of certain items used for your wedding or event, for example stationary details. All our supplies are fully compliant with GDPR and have their own privacy policies in place. All payment to these suppliers are handled direly through Sophia’s Final Touch.
For promotional use we may use pictures from your wedding or event on our website, blog or social media, these will not include personal information such as email address on telephone numbers but many include names if you would prefer these not to be shared please inform a member of staff via email or select the option on your invoice.
How do we protect and document the data we have?
Our Host Tsohost provide a secure network for our website, to keep any information entered there secure. Our email account is password protected along with any laptop or computer we use in relation to the business. We do have paper copies of invoices which will have your name and possibly email address and telephone numbers, the reason for this is in case for any reason we don’t have access to the computer or email and need to contact you the day of the event we will be able to do so.
How long do we plan to keep the data for?
Depending on how far in advance before the event you book, we will keep your data on file up until the date of your event and up to 2 years after. The reason for this is we take part in various award ceremonies in which the criteria period to vote normally covers past wedding so we may contact you solely for the purpose of the competition to get your feedback.
